Required Camp Forms

(The following forms are brought with head leader of each church at the time of arrival of youth camp. Please do not mail these to WFC.)

  1. Leader and Counselor Application (Leaders and Chaperones)
  2. Criminal Background Check for all Leaders, Counselors, Chaperones, Pastors
    1. Counselors, youth leaders and all ministers who are attending camp and are on the camp grounds in these leadership capacities will need verification of a criminal background check on file with our Camp Directors. Hudson Valley Family Church can process this for a fee if you are unable to do so through your church. Please contact us as soon as possible to allow for processing time. Please provide a copy of each leader’s background check to the camp directors upon arrival to camp.

PLEASE NOTE: Applications must be notarized by a notary public

Important: Campers must have counselors from their home church in the bunkhouses. If you are unable to provide a counselor for your group, please let us know by February 21st when the church camp fee is sent. The Camp Directors must approve any and all exceptions to this rule.

Payments: Please submit your payments to your local church. Each church is responsible for overseeing the individual payments of the campers/chaperones and leaders from its church. Payments from campers and chaperones are to be made to home churches. Westchester Family Church will receive payments from each church for its group, but cannot receive individual payments for each camper. Thank you for your cooperation.

Cancellation Policy: Because we are held responsible to the Refreshing Mountain Camp contract, and its agreed upon rates, should a camper/chaperone cancellation occur after our “Final Numbers Spreadsheet” has been sent to RMC, monies paid or will be returned at the discretion of the RMAI Camp Directors, less the $50 non-refundable deposit.

Counselors/Chaperones Guidelines
Each church should provide counselors of the highest integrity and Godly character.

Qualifications:

  • Born Again.
  • Filled with the Holy Spirit with the evidence of speaking in tongues.
  • Minister to campers if/when necessary and also under the direction of the
            Camp Directors and Head Counselors.
  • Experienced at working with youth in a Christian setting of various natures
(i.e., retreats, youth group, field trips, home groups, etc.).
  • Able to chaperone the teens and participate with their assigned groups
            throughout the day.

The ratio for your church group is as follows: Please provide at least one male counselor per every five male campers boys and at least one female counselor per every five female campers. (Please note the ratio of 1:5. Therefore, if you have 11 boys attending camp, you would need to provide 3 male counselors.)

The counselors will be housed with their campers in the bunkhouses and will be with the campers at all times. No counselor leaves campgrounds except for emergency and with communication to Camp Directors.

All Counselors must fill out the Leader and Counselor Application.

Campers must have counselors from their home church in the bunkhouses.

If you are unable to provide a counselor for your group, please let us know by February 28th when the church camp fee is sent. The Camp Directors must approve any and all exceptions to this rule.

Please make your decisions in a prayerful manner. This is not the setting for training or testing out “someone new” in order to see if they will “work out” for your youth ministry back at home. The leaders of other participating churches depend on your prayerful selections as all counselors and chaperones interact with the entire camp group.

HOTEL-STYLE ROOMS:

Rooms are available on campgrounds for Church Leaders (and their families) who serve in leadership roles during the week of the camp. For more information see our General Camp Information page.

Feel free to contact us with any questions you may have. We are blessed to join together as RMAI Churches to see these young people eternally changed!
